LaunchVault Field Guide
A Client-Acquisition Pipeline Tracker You Will Actually Review
A lightweight weekly operating system for independent B2B consultants who need to see what is moving, what is stalled, and exactly what to do next—without turning a spreadsheet into a complicated CRM.
In this guide
- 1. Give every stage a clear meaning
- 2. Keep only fields that guide action
- 3. Review the pipeline every week
- 4. Use evidence to improve the system
A pipeline is a decision tool, not a scorecard
A client-acquisition tracker should answer three questions at a glance: why is this prospect here, what happened last, and what happens next? If a row cannot answer those questions, it is not helping you run the work.
Start with a spreadsheet, a simple table, or the tool you already use. The useful part is not the software. It is the discipline of recording a truthful stage and assigning a next action before the context fades.
Use stages as facts, not optimism
A prospect is not in a later stage because you want the work. Move a record only when an observable event supports it: enough research is complete, a message was sent, a conversation occurred, or a decision process is genuinely underway.
Use a small set of stages with real exit criteria
Research
A possible fit with a documented relevance signal.
Typical next action: Find the right buyer or confirm the signal.
Ready to contact
The record has enough context for a truthful first message.
Typical next action: Draft and review the opening note.
Conversation
A response, referral, or meeting is active.
Typical next action: Prepare the next question or call.
Qualified
The problem, timing, and decision path suggest a real opportunity.
Typical next action: Agree on scope, process, or proposal.
Decision
A proposal or defined next decision is with the buyer.
Typical next action: Set a specific follow-up date.
Closed
The opportunity is won, paused, referred, or not a fit.
Typical next action: Record the outcome and lesson.
The six fields worth keeping
Add more columns only when they repeatedly improve your decisions. A broad tracker that no one updates is less useful than a short one you review every Friday.
| Field | Why it matters |
|---|---|
| Company and buyer | Keeps the opportunity tied to a real organization and role. |
| Relevant signal | Captures why this might be timely or useful to explore. |
| Stage | Shows where the opportunity is now—not where you hope it will be. |
| Last touch | Prevents stale records from looking active. |
| Next action and date | Makes the next move visible and time-bound. |
| Notes and outcome | Preserves context, objections, and patterns for review. |
A weekly pipeline operating rhythm
Monday
Set the week
Choose a small research target and review every open next action.
Tuesday
Build context
Research qualified prospects and move only ready records forward.
Wednesday
Start conversations
Send tailored messages and log the action immediately.
Thursday
Advance active work
Prepare calls, send appropriate follow-ups, and update outcomes.
Friday
Review the evidence
Close stale loops, inspect bottlenecks, and choose one process improvement.
If you only have one block of time, use it to review active next actions. A smaller pipeline with honest dates is easier to improve than a long list with no follow-through.
